Information on the Processing of Personal Data

SCOPE AND RESPONSIBILITY FOR PROCESSING

This document contains information about the processing of personal data that we carry out as the Controller, i.e. as the entity that determines the purposes and means and decides on the processing of your personal data.

Personal data means information that can identify you, such as your name, address, telephone number, e-mail address, etc. The processing of personal data is necessary for us to provide our services.

In processing personal data, we comply with applicable legal regulations, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC (General Data Protection Regulation) (hereinafter “GDPR”), and Act No. 110/2019 Coll., on the processing of personal data, as amended.

• clients and suppliers,

• job applicants or cooperation candidates.

WHAT ARE YOUR RIGHTS REGARDING YOUR PERSONAL DATA?

With respect to your personal data that we process, you have the following rights, which you may exercise against us:

• to obtain confirmation as to whether or not your personal data is being processed and to access the personal data concerning you that we process;
• to have your personal data rectified or supplemented if it is inaccurate or incomplete;
• to have your personal data erased or to restrict its processing, if the legal conditions are met;
• to object to the processing of personal data concerning you;
• to transfer your personal data to another controller;
• to withdraw your consent to processing, if you have given it to us;
• to lodge a complaint with the Office for Personal Data Protection, and the right to effective judicial protection.

HOW DO WE PROTECT YOUR PERSONAL DATA?

You can be absolutely sure that we handle your personal data with due care and in accordance with applicable legislation. We protect your personal data to the maximum extent possible, corresponding to the technical level of available means. Your data is not subject to extensive automated processing or profiling, unless you have given us your consent.

All data is stored in data centers within the European Union.

1) PERSONAL DATA OF INDIVIDUALS INTERESTED IN OUR SERVICES OR OTHER PERSONS WHO COMMUNICATE WITH US

a) Which personal data do we process?
The type and scope of processed personal data depend on the communication channel used. We always process only the data you provide during our communication, which are relevant for the matter at hand and necessary for functional communication:

• First name
• Last name
• E-mail
• Telephone number
• Social media profile identifier
• Message text
• Job position
• Company
• Reason for request

b) Why do we process this data and on what basis?
Data from mutual communication is processed on the basis of legitimate interest for a maximum of 12 months from your last communication, unless there is another legal reason for further processing (e.g., data retention for our defense in case of disputes).

c) Who can access this data?

• Pipedrive Prague s.r.o., ID No.: 07070152, Pernerova 697/35, Prague 8, 186 00 (CRM provider)
• Other software or service providers may also access the data, but currently, the Controller does not use them.

2) PERSONAL DATA OF CLIENTS AND SUPPLIERS

If you are our client or supplier, we must process certain personal data of yours, as well as data of your representatives, employees, or other persons specified in the contract to ensure mutual contractual fulfillment.

a) Which personal data do we process?

• Name and surname
• E-mail
• Telephone number
• Data box identifier
• Company ID (IČ)
• VAT ID (DIČ)
• Business address/registered office
• Correspondence address
• Bank account identifiers
• VAT payer information
• Mutual communication
• Information and documents provided in relation to the contract and other data necessary for contract fulfillment

b) Why do we process this data and on what basis?

• Legal obligation (e.g., accounting, tax processing)
• Contract performance or negotiations
• Legitimate interest not conflicting with your data protection rights (e.g., sending newsletters, CRM, internal reporting/statistics)
• Consent for specific purposes (e.g., publication of a reference about our services)

c) How long do we process this data?
We process your personal data to the minimum extent necessary during our cooperation and up to 10 years after its termination (usually contract termination) to comply with legal obligations (mainly accounting and tax records), unless other legal regulations specify a longer period.

d) Who else may we share your personal data with and why?
Your personal data may be shared with third parties necessary for contractual performance under processing agreements to ensure complete data protection, particularly:

3) PERSONAL DATA OF COOPERATION OR JOB APPLICANTS

The type and scope of personal data processed depend on the communication channel used. We always process only the data you provide during our communication, which are relevant for assessing whether your application is suitable for the position we are offering and necessary for effective communication.

a) Which personal data do we process?

• Name and surname
• E-mail
• Telephone number
• Data box identifier
• Photograph
• Social media profile information (if relevant to the position or communication)
• Education and work experience
• Other information provided in the CV or communication

b) Why do we process this data and on what basis?
We process the data based on legitimate interest to assess whether you meet the requirements for the position and to potentially offer a contract.

c) Who can access this data?
Applicant data is processed internally. If additional software or service providers are involved, they must comply with the principles of personal data processing stated in this notice.

4) WEBSITE VISITORS’ DATA (COOKIES AND IP ADDRESS)

Your IP address is processed only for anonymized traffic statistics. If you fill out and submit a contact form, the IP address is included as part of the identification of the inquiry and stored in the database with other submitted data.

Our website also uses cookies, which, except for strictly necessary ones, require your consent. Necessary cookies are those essential for proper website functionality and do not require consent.

You can change or withdraw your consent at any time.
